Terms of use

These terms cover your use of Trustee Meetings, a tool that helps the trustees of a charity run their board meetings. By signing in and using the service, you and your charity agree to them.
Who we are
Trustee Meetings is provided by Spring Incubator Limited. Where these terms say “we” or “us”, that is the company. Where they say “your charity”, that is the organisation whose board you belong to.
Signing in
You sign in with a one-time link sent to your email address — there is no password. Please keep access to your email secure, and do not let anyone else use your sign-in. Only people your charity’s board has invited may use that charity’s workspace.
Your charity’s information belongs to your charity
Your charity owns the content it puts into Trustee Meetings — its agendas, papers, minutes, actions and trustee details. You give us permission to store and process that content only to provide the service, as described in our privacy notice. You are responsible for making sure the content you upload is accurate and that you are allowed to share it.
How we handle your information
Your charity is the data controller for the personal information it puts in, and we act as its data processor. The terms of that processing are set out in our data-processing agreement, which forms part of these terms.
Using the service properly
- Do not upload anything unlawful, or anything you do not have the right to share.
- Do not try to access another charity’s workspace or information.
- Do not attempt to disrupt, copy or interfere with how the service works.
A tool, not professional advice
Trustee Meetings helps you organise your board’s work and links to official Charity Commission guidance, but it does not give legal, financial or governance advice. Your trustees remain fully responsible for the charity’s governance and for meeting their legal duties.
Availability
We work hard to keep the service running and your information safe, but we provide it “as is”. We may occasionally need to pause it for maintenance or improvements. This is currently an early-access service and features may change.
Cost
The service is currently free to use. If we introduce charges in future, we will tell you clearly in advance, and you will be free to decide whether to continue.
Stopping
You can stop using Trustee Meetings at any time, and your charity can ask us to close its workspace and return or delete its information. We may suspend access if these terms are seriously or repeatedly broken.
Our responsibility to you
To the extent the law allows, we are not liable for indirect or consequential losses, or for loss of data caused by events outside our reasonable control. Nothing in these terms limits any liability that cannot be limited by law.
Changes and governing law
We may update these terms from time to time and will note the date at the top. Significant changes will be brought to your attention. These terms are governed by the law of England and Wales.
