Trustee Meetings

How it works

What happens, step by step.

The same five steps, every meeting — and the app guides you through each one.

The whole journey, in sixty seconds.

Before the step-by-step below, here is the calm path from setup to signed-off minutes — all in one place.

First, a one-off setup

Set your charity up once — it takes a few minutes.

Type your charity’s name and — if your charity’s on the Charity Commission register — we’ll pull in your details and trustees for you. Then invite your trustees: they join with one tap, no accounts or passwords. That’s the setup done. From here, it’s the same five steps every meeting.

1

Plan & share

You

Set the meeting and send the pack.

Pick a date, start from a sensible agenda, and attach each paper to the item it belongs to. Then send the pack to everyone with one tap.

Prepare

Between meetings

Everyone gets ready, in good time.

Each trustee gets a gentle nudge with exactly what to read, and when — once, and only if something needs them. Never a last-minute scramble.

From Trustee Meetings

Before Tuesday’s meeting

Hello Margaret — there are two papers to read before the meeting. That’s everything that needs you, and it takes about ten minutes.

We’ll only write again if something changes.

3

Meet & decide

Together

Who’s here, what’s declared, what’s decided.

On the day, record who’s present, note any declarations of interest, and capture the decisions as you go.

↻ Round again

Minutes, actions and decisions all carry forward to the next meeting — so nothing is lost, and no one has to hold it all in their head.

Running under every step

Charity Commission guidance, the whole way through.

It isn’t a separate rulebook to remember. Plain-English help and the official guidance sit beside the work at every stage. Each step tells you exactly what to do next — there’s nothing to remember.

On the agenda

5. Reserves policy

In plain English

The money your charity sets aside so it can keep running if income dips. The Charity Commission asks every charity to have a policy on it.

And it all stays

When trustees change, the knowledge stays.

Every agenda, paper, decision and set of minutes is kept safely in one place — so when a trustee moves on, your charity’s history doesn’t leave with them.

Five steps. One place. Guided all the way.

More time for the cause. Less time on the admin.
